The Academic Planning Specialist will coordinate and create informational content to support academic and technology projects within the division of Academic Affairs (AA). The Academic Planning Specialist will develop informational materials, manage the CAO general e-mail inbox, maintain the CAO intranet page and other major departmental sites as needed, and control the intake of all requests to update the institution's public website. This is a full-time position that will split time between the Largo and Adelphi locations.

Essential Duties & Responsibilities:

  • Develops print, online, and presentation materials for the AA division
  • Creates and maintains an Academic Affairs division-wide annual communication calendar
  • Distributes information within Academic Affairs
  • Gathers and provides input and feedback on projects as an AA representative
  • Establishes business processes and standard operating procedures that ensure effective collaboration across and within AA departments
  • Monitors, manages, and prioritizes inbound messages from employees over department's digital channels, escalating messages to the appropriate subject matter experts when necessary for formal response
  • Controls and manages all intake requests to update the university's public website
  • Supports the team's collaboration with the Communications and Engagement office, providing input on the timing of AA-related messages and ensuring the alignment of AA content with the institution's priorities
  • Evaluates and refines intra-divisional intranet Engage spaces to optimize its effectiveness
  • Provides AA-related input on other internal channels and content where appropriate
  • Supports responsive and timely two-way communication with AA faculty and staff
  • Manages and maintains Academic Affairs divisional distribution lists, general mailboxes, and all the associated permissions
  • Supports the sharing of updates on AA policies, programs, and initiatives with other departments
  • Performs other job-related duties as required

Required Education & Experience:

  • Bachelor's degree from a regionally accredited institution of higher learning
  • Five (5) years progressively responsible experience dealing with business systems and business best practices, planning communications and community outreach
  • Thorough knowledge of Microsoft Office products and excellent communication skills
  • Excellent time management, planning, and organizational skills and enjoy working in a multi-project environment
  • Strong communication skills both verbal and written, including the ability to write clear, structured, articulate, and persuasive documents
  • Attention to detail and the ability to communicate with a wide range of stakeholders
  • Must be self-directed and have strong leadership skills

Preferred Education & Experience:

  • Experience in higher education on a project team or in a communications office
  • Familiar with HTML and basic methods to update web content
