Systems Specialist, Transfer Credit

Office of the Registrar

Full-Time, Regular, Exempt, Pay Grade 1.3

Location: Stateside Remote

The Systems Specialist supports the integrity, accuracy, and functionality of academic records within the Student Information System (SIS). This role performs core Registrar functions including academic record maintenance, systems operations, and stakeholder support, while also specializing in Transfer Credit evaluations. The position ensures consistent application of institutional policies, supports service delivery, and contributes to process improvements, data quality, and system enhancements. 

Duties and Responsibilities: 

  • Maintain the accuracy and integrity of academic records, including processing updates, resolving discrepancies, and ensuring compliance with institutional policies  

  • Execute and monitor system transactions and batch processes within the SIS; perform testing, validation, and troubleshooting for system functionality  

  • Provide timely and accurate support to students, faculty, and staff; manage inquiries and cases in alignment with service level expectations  

  • Apply institutional policies and procedures to make consistent, accurate decisions regarding student records and academic processes  

  • Analyze data, identify trends or issues, and support reporting, audits, and continuous improvement efforts  

  • Perform specialty responsibilities in Transfer Credit Evaluation: transcript review, course equivalency decisions, articulation maintenance, and transfer policy application

  • Effective written and verbal communication skills  

  • Ability to learn and adapt to new systems, tools, and processes 

Education & Experience Requirements: 

Education:  

  • ​​Bachelor's Degree​ 

Required Experience:  

  • 1 year of experience in student records, registrar operations, transfer credit, admissions, or a related higher education function  

  • Experience using a Student Information System (SIS) to process or update student data  

  • Demonstrated ability to manage transactional workflows and resolve data or system issues  

  • Experience interpreting and applying policies in a structured environment 

Preferred Experience

  • Experience in a Registrar's Office or academic administrative environment 

  • Plus one of the following specialty areas: 

  • Academic Records & Registrar Operations: 

  • Experience supporting grades, GPA, academic standing, or transcript processes 

  • Experience with batch processing, queries, or enrollment-related workflows 

  • Experience evaluating transfer credit, transcripts, or degree audits

  • Experience reviewing academic documentation (e.g., syllabi, catalogs) and applying equivalency rules
